2. Eligibility for Refunds

Refund requests may be considered under the following circumstances:

a. Services Not Yet Commenced

Clients may request a full refund if:

  • No work has commenced.
  • No resources have been assigned.
  • No project planning or scoping activities have been initiated.

Approved refunds may be subject to payment gateway or transaction processing fees.

b. Non-Delivery of Services

Clients may be eligible for a full or partial refund if KM Software Services fails to deliver the agreed scope of work within the agreed timeline, provided that:

  • The delay was not caused by the client.
  • All required information and approvals were provided on time.
  • The client fulfilled all payment obligations.

c. Significant Non-Conformance

If the delivered work substantially differs from the agreed project specifications, clients may request a review for a partial refund after allowing KM Software Services a reasonable opportunity to rectify the issue.

3. Non-Refundable Items

The following are strictly non-refundable:

  • Deposits paid for projects that have commenced.
  • Completed and delivered projects.
  • Custom software development services.
  • Website development services after approval.
  • Mobile application development services after commencement.
  • Digital marketing services after campaign launch.
  • Domain registration fees.
  • Web hosting fees.
  • Third-party subscriptions and licenses.
  • Payment gateway transaction fees.
  • Premium plugins, templates, or software purchased on behalf of the client.
  • Milestone payments for completed and approved work.
  • Monthly or annual subscription fees already utilized.

4. Project Cancellation

Refunds for cancelled projects shall be determined as follows:

Unless otherwise stated in the project agreement, clients will be entitled to the revision rounds specified in their quotation or service agreement.

6. Third-Party Services

KM Software Services utilizes various third-party providers, including:

  • Stripe
  • PayPal
  • Airwallex
  • FPX
  • Billplz
  • SenangPay
  • Cloud Hosting Providers
  • Domain Registrars
  • API Providers

Fees charged by third-party providers are non-refundable and are governed by their respective terms and conditions.

KM Software Services shall not be held responsible for delays, outages, or refund policies imposed by third-party providers.

7. Chargebacks

Clients are encouraged to contact us directly to resolve any concerns prior to initiating a chargeback or payment dispute.

Unauthorized or fraudulent chargebacks may result in:

  • Immediate suspension of services
  • Account termination
  • Recovery proceedings where applicable
  • Reporting to payment providers

8. Refund Processing

Approved refunds will be processed to the original payment method used during the transaction.
